Job Summary

The Document Coordinator I will provide support in the management of document control and the quality documentation process. The key responsibilities include the

  • Formatting

  • Reviewing and

  • Maintenance

of controlled documents such as policies and SOPs. The successful candidate should have good attention to detail and the ability to handle multiple tasks. The position will involve close coordination with SMEs and QA.

Key Responsibilities

It entails re-formatting, branding, and preparing controlled documents like SOPs and policies following certain templates and quality standards. Document formatting will be reviewed by the candidate to ensure that it is accurate, consistent and compliant with the requirements set.

Some of the duties will involve the management of documents in quality management systems like Veeva QualityDocs, collaborating with Subject Matter Experts and Quality Assurance groups in reviewing, approving, and implementing documents.

Other responsibilities of the candidate will be to make sure that all the assigned tasks are completed to high quality and accuracy and within set timelines despite the many document assignments. It will also involve identifying any deviation from the set standards of documentation and making recommendations for any required corrections. Proper documentation practices and compliance with quality systems should be maintained.

Moreover, the candidate will prepare, edit and manage documents using Microsoft Office applications.

Qualification and Skill Requirement

A Bachelor’s degree in:

  • Life Sciences

  • Pharmacy

  • Biotechnology, or a

  • Related field

The role requires 1–2 years of experience in:

  • Document management

  • Document control

  • Quality documentation

The applicant is expected to have a high level of attention to detail in dealing with documents as well as good writing and speaking skills.

Experience in working with QMS and controlled documents is desired, and any knowledge of GLP/GCP requirements is seen as an added value.

Fluency in Microsoft Office (Word, Excel, PowerPoint) is a must; the candidate needs to have experience in working with document management systems, Veeva Vault being a bonus.

The applicant needs to be able to deal with several things at once and to work efficiently as part of a team.
