Job Summary
The Program Coordinator – Medical Communications is responsible for providing excellent proactive project coordination to selected account teams and projects. This position is very important in guaranteeing that all projects are executed efficiently and effectively in terms of management of deadlines, deliverables, and communications.
The coordinator will be tasked with the responsibility of doing assignments according to pre-set priorities and deadlines, maintaining high quality and budgeting considerations. It is an organizational and communication-intensive job.
Key Responsibilities
Coordinate program scheduling and delivery, as well as communication with the involved stakeholders, to ensure a trouble-free project implementation process. Monitor project development and ensure that milestones are accomplished as expected by the client and as per procedures.
Keep track of publications and MedEd projects through the use of proper project tracking tools. Ensure that project information is recorded accurately. The dashboard should be up-to-date with status reports.
Communicate with the clients, faculty members and other stakeholders regarding the project setup, development and deliveries. Ensure effective communication to achieve alignment between all parties.
Arrange both internal and external meetings with the necessary documentation. Support the congress submissions and the coordination of scientific meetings.
Handle internal and customer databases to maintain the accuracy and comprehensiveness of data.
Help in managing the budgets of the projects in line with the standards and regulations of the organization.
Help in the budgeting, proposal making, and pitching process where necessary.
Identify risks and issues arising from project implementation and assist in finding solutions for them to minimize disruptions in the project schedule.
Collaborate effectively with other departments such as medical writers, scientists, account managers, and operations in handling projects.
Prepare program updates and other reports for internal use and publication purposes.
Qualification and Skill Requirements
Educational Qualifications
Bachelor’s degree preferred in:
Life Sciences
Marketing
Business, or a
Related field
Experience
Experience in project coordination or team coordination roles.
Prior experience in medical communications, publications, or MedEd project management is preferred
Key Skills
Technical Skills and Expertise
The candidate is expected to have some experience in using publication and MedEd software including:
Datavision
iEnvision, or
PubStrat
Familiarity with processes of submitting articles to scientific journals and conferences is preferred. Knowledge of Microsoft Office applications and project management systems is essential.
Core Competencies
Efficient organisational and time management skills are key to this position. Another requirement is excellent written and verbal communication skills. Attention to detail is an added advantage. The candidate must be able to juggle multiple tasks and complete tasks within various deadlines. They must be an effective stakeholder and possess good interpersonal skills.
Candidates should have a proactive approach and be able to work independently and in a team. Problem-solving skills will be an advantage in this position.
