Job Summary  

This role is for a Document Specialist II in Bangalore working with the project management team. The person will organize, scan, and file study documents, including the Trial Master File. The role also covers document queries, file checks, and quality reviews so the file meets client standards and project timelines. Strong organization skills and clear English are important for this job.

Key Responsibilities 

  • Keep a standard filing structure for study documents and department files.

  • Create and maintain tracking forms and spreadsheets for documents and files.

  • Gather, organize, scan, and ship project documents as needed.

  • Help review and finalize the TMF Plan and Index for each project.

  • Help project managers set up and close out TMF activities, such as account and specialist requests.

  • Own the upkeep of the TMF by working with project team members to retrieve, file, and upload documents on time.

  • Follow up on missing documents and check document quality.

  • Follow up on document quality issues with the right staff.

  • Work with project teams and business partners to reconcile the TMF as part of quality control.

  • Copy project data to media for archive or client delivery when needed.

  • Carry out archiving of paper and electronic files.

  • Share metric data with department managers to show process compliance.

  • Train and guide new document specialists and update training materials.

  • Act as a TMF expert and train team members on eTMF systems and processes.

  • Carry out admin tasks as assigned.

Educational Qualification 

  • A high school diploma or equal is the minimum.

  • A bachelor's degree in a science field is preferred.

  • Fortrea may also accept experience in place of formal education.

Skills Required 

  • Strong written and spoken English.

  • Good computer skills, including Adobe Acrobat, Word, Excel, and PowerPoint.

  • Strong organization skills and ability to work in a fast-paced setting with many interruptions.

  • Attention to detail while filing and checking documents.
