 Job Summary  

This remote position sits within Patient Concierge Services, supporting clinical trial patients with travel and reimbursement needs. As a Patient Reimbursement Coordinator you will handle travel logistics and reimbursement processing for patients, in assigned studies. Your tasks will include reviewing reimbursement requests arranging travel bookings and speaking directly with patients and their caregivers. You will also work closely with sites and internal teams to ensure smooth operations.

 Key Responsibilities 

  • Manage travel logistics or reimbursement processing for patients in assigned clinical trials.

  • Work with Project Managers and internal teams to set up patient support services.

  • Support new project setup, including mailboxes, portal access, and documentation.

  • Review and accept patient enrolment details and platform access (e.g., PatientGO®).

  • Respond to questions through the app through email or, through the phone in a timely way.

  • Arrange flights, trains, accommodation or arrange ground transport when it is needed.

  • Check reimbursement requests to make sure they match study policies.

  • Approve, reject or send up reimbursement or stipend submissions when it is necessary.

  • Talk with patients. Talk with caregivers to check logistics and fix questions.

  • Work with clinical sites to solve reimbursement or travel related issues.

  • Process patient payments, stipends, or travel confirmations through approved systems.

  • Manage patient payment cards when required by the project.

  • Keep patient records, visit details, and service logs accurate and current.

  • Help complete reimbursement submissions on behalf of patients, when needed.

  • Share feedback and support ideas to improve the overall patient service process.

  • Support financial tracking by providing data for monthly reports.

  • Follow GCP guidelines, data protection rules, and company SOPs at all times.

  • Engage in client meetings and site visits, when requested.

  • Stay updated on tools and processes related to patient travel and reimbursement.

  • Support internal team projects that help grow the patient services function.

 Educational Qualification 

  • A degree in life sciences, healthcare administration, or a related field, along with relevant work experience.

 Skills Required 

  • Strong organizational skills to manage multiple patient cases at once.

  • Good communication skills to interact with patients, caregivers, and clinical sites.

  • Comfort using digital platforms (e.g., PatientGO®) and coordination tools for travel and payments.

  • Strong attention to detail while reviewing reimbursement requests and documentation.

  • Ability to handle sensitive patient information with care and confidentiality.

  • Good problem solving skills to resolve travel or payment related issues.
